Provides process and resources for successful University research and sponsored agreement administration and contractual support to external sponsors, ASU faculty and staff

Research Operations is organized into teams that align with business processes governing ASU’s research administration process. ASU’s central unit for research and sponsored agreement administration and contractual support consists of the Proposals and Negotiations Team and the Industry Agreements Group. These teams use the same business processes but serve and provide support to different external parties.

Proposals and negotiations team

  • US government
  • International entities (except industry)
  • End user license agreements
  • City, state, and local entities
  • Schools and universities
  • Nonprofit foundation
  • Nonprofit company collaboration agreements (funded and unfunded)

Industry agreements group

  • International collaboration and master agreements (funded and unfunded)
  • Liaison with Skysong Innovations, LLC to provide recommendation and help in the decision making process on Intellectual Property (IP-related matters)

For more information, see PNT and IAG team descriptions and Responsibility Matrix.

Review and negotiation process

The review and negotiation process includes an evaluation of agreement requirements to ensure compliance with applicable federal and state laws, regulations, and university policies and guidelines. Key parties involved in this process are the PNT or IAG grant and contract officer, the principal investigator, the research advancement administrator, the external party’s technical and contracting representative(s).

ASU Research Advancement Administrators or Principal Investigators who receive an agreement requiring review and/or negotiation should create a task in ERA. See instructions in Task Request (WI-SN-60). When creating the task, explain what type of agreement is needed and provide relevant background information or documents. Examples of helpful information include: a draft of the agreement, ASU principal investigator, ASU proposal number, statement of work and budget, and sponsor contact information. External parties should include the same information and send by mail or through e-mail using the ASU contact information below.

Agreements managed by PNT and IAG are:

  • Consortium agreements
  • Data use/business associate agreements
  • End user license agreements
  • External sales agreements
  • Intellectual property agreements
  • Letters of intent
  • Master agreements
  • Material transfer agreements
  • Memorandums of understanding
  • Non-disclosure agreements
  • Pre-contracts authorizations
  • Sponsored project awards
  • Subawards
  • Teaming agreements

For more information and descriptions of these agreements, see the Agreement Matrix.

Prior to execution of an agreement, the principal investigator and any other university units are contacted for approval to proceed.  Once fully executed between the university and external party, the agreement will be distributed to the appropriate parties for further business processes.
